1. Your Agreement – Important to Review Before Booking

These Terms and Conditions ("Terms") constitute a legally binding agreement between you ("Traveler," "you," or "your") and PepMyTrip (PVT) Ltd ("the Company," "we," or "us"). By making a booking on our website, you agree to be bound by these Terms.

1.1. Binding Contract

Your booking is confirmed upon our receipt of a non-refundable deposit of at least LKR 25,000 (subject to change) and your adherence to the fare rules. Once the payment (deposit or full) is successfully processed, your reservation is secured. Deposits are non-refundable and non-transferable.

1.2. Online Booking Contracts

For online reservations, the contract is established when you agree to the booking terms at checkout and full payment is received.

1.3. Service Availability

All bookings are subject to the availability of the requested services.

1.4. Price Adjustments

Displayed prices are based on current transportation and accommodation costs and may vary before booking confirmation. Verbal price quotes or descriptions cannot be guaranteed.

1.5. Authority and Responsibility

When booking for a group, you confirm that you are authorized to act on behalf of all participants and accept responsibility for all payments due.

1.6. Providing Accurate Information

You are responsible for ensuring that all provided details are correct and accurately shared with all group members.


2. Payments

2.1. Payment Terms

Full balance must be paid by the due date specified in your confirmation invoice. Late payments may lead to booking cancellation, with applicable cancellation charges.

2.2. Accepted Payment Methods

We accept major debit and credit cards listed on our website without additional fees.

2.3. Security and Fraud Prevention

To ensure secure transactions, we verify your information with authorized databases for identity confirmation only. This process does not affect your credit score.


3. Confirmation and Travel Documents

As a traveler, you are responsible for:

Carefully reviewing and agreeing to the Terms before booking.

3.2. Passport Accuracy

Ensuring the traveler's name matches the passport exactly.

3.3. Confirmation Issues

Contacting us immediately if you do not receive your confirmation email or notice discrepancies.

3.4. Travel Requirements

Tracking travel-related requirements such as visas, vaccinations, and check-in times.


4. Tickets

4.1. E-Tickets

Your e-ticket, sent via email, serves as your official travel document. Carry it with you throughout your journey.

4.2. Sequential Usage

Tickets must be used in the order booked. Skipping any leg may result in the cancellation of subsequent flights without a refund.

4.3. Independent Trips

Bookings with separate reference numbers are treated as standalone journeys. We are not liable for missed connections or schedule changes between them.


5. Flight Schedules

Flight timings are provided in local time and may change. Travelers should stay updated on any schedule alterations.


6. Special Requests & Medical Considerations

Notify us at the time of booking if you have specific requests or medical needs. We will do our best to accommodate, but no guarantees can be made.


7. Flight Bookings

7.1. Price and Technical Adjustments

We reserve the right to amend or cancel bookings in case of technical errors or unexpected price changes. Affected travelers will be notified within 24 hours.

7.2. One-Way Fares Combined

Some bookings may combine one-way fares for competitive pricing. Each trip segment is treated independently.

7.3. Insurance

We strongly advise purchasing comprehensive travel insurance for your trip.

7.4. Unforeseen Events

We are not responsible for disruptions caused by strikes, weather conditions, or other circumstances beyond our control.

7.5. Passport and Visa Requirements

Ensure compliance with all passport and visa requirements for your destination and transit points. Associated costs are the traveler’s responsibility.

7.6. Health Requirements

Confirm and complete necessary vaccinations or medical formalities before departure.


8. Loyalty Programs

Frequent flyer points can be added to your booking, but their accrual or usage cannot be guaranteed.


9. Infant Tickets

Infants (ages 0–2) travel without a seat. If they turn two during the trip, a child ticket must be purchased. Provide accurate details at booking.


10. Taxes and Fees

All prices include airport taxes. Some departure taxes may need to be paid in cash at specific airports. Confirm these details before departure.


11. Transport and Accommodation for Changes in Airport or Dates

Ground transportation or hotel costs during your trip are not included in the ticket price. It is the traveler’s responsibility to confirm schedules and costs independently. This also applies to airline schedule alterations beyond our control.

11.1. Connection Times During Stopovers

Airlines determine connection times during stopovers. If a delay affects a connected flight on the same itinerary, the airline assists passengers in reaching their destination. For separately purchased tickets, airlines are not accountable for missed connections due to delays. Ensure connection times meet airline and airport requirements. PepMyTrip will not cover costs from insufficient connection times.

11.2. Lost or Damaged Baggage

PepMyTrip is not responsible for lost or damaged luggage. Report any issues directly to the airline’s representative at the airport immediately.

11.3. Upgrades: Premium Economy, Business, and First Class

Upgrades are available only at booking and may be restricted to certain journey parts, depending on the airline. Onboard services vary by airline; refer to the airline's official website for details. PepMyTrip is not liable for aircraft type changes, overbooked cabin classes, or service alterations. Address concerns directly with the airline.


12. Flight Schedule Changes

Airlines may adjust schedules or cancel flights with little or no prior notice, beyond PepMyTrip’s control. Travelers must verify departure and return times directly with the airline.

12.1. Flight Cancellations

If a flight is canceled, the airline's conditions of carriage determine your rights, which may include:

PepMyTrip will inform travelers of schedule changes before ticket issuance but does not provide compensation for disruptions caused by "Force Majeure" events.


13. Cancellation and Rebooking

13.1. Ticket Cancellation

Tickets are issued upon payment receipt. Some tickets have strict restrictions, making refunds or amendments impossible. Communicate cancellations at least 24–48 hours before departure. Verbal cancellations must be confirmed in writing or by email within 24 hours. Non-changeable tickets incur a 100% cancellation fee.

13.2. Refund Requests

13.3. Rebooking and Changes

Modifications must be requested in writing by the original booker. Additional charges may include a rebooking fee of LKR 5,000 per person, airline penalties, tax differences, and other applicable costs. Rebooking is confirmed only after written acknowledgment by PepMyTrip.

Most airlines treat name changes as cancellations, potentially resulting in a 100% cancellation fee for the original ticket.


14. Guidelines for Pregnant Travelers

Flights are unavailable for expectant mothers exceeding 28 weeks of pregnancy by the return date. Consult a healthcare provider before flying to ensure safety.


15. Conduct During Travel

15.1. Traveler Responsibility

Ensure respectful behavior to avoid inconvenience, damage, or harm to others. Settle any damage costs directly with the affected party. PepMyTrip is not liable for resulting claims or legal expenses.

15.2. Consequences of Misconduct

If behavior is inappropriate or disruptive, PepMyTrip may terminate travel arrangements without prior notice. No refunds or compensation will be provided for unused services or additional expenses incurred.


16. Booking Conditions for Package Holidays

16.1. The Contract

All bookings are subject to these Terms. No individual can modify these conditions on behalf of the Company.

16.2. Financial Protection

We prioritize the financial security of your travel arrangements. Details are provided during confirmation. Familiarize yourself with the terms associated with your travel plan.

16.3. Acceptance of Booking

Prices and information may vary before booking finalization. Upon receiving the deposit and completing the booking form, a confirmation invoice formalizes the contract. The remaining balance is due no later than 12 weeks before departure. For bookings within eight weeks of departure, full payment is required at booking.

16.4. Your Holiday Price

Prices are based on known costs and exchange rates at booking time and may change due to transportation costs, airline surcharges, taxes, and currency fluctuations. Local city taxes, if applicable, must be paid directly to the hotel and are not included in the package.

16.5. Alterations by Us

Circumstances beyond our control may necessitate adjustments to your travel arrangements. Minor changes will be communicated promptly. Significant changes (e.g., accommodation category downgrade, flight time adjustments exceeding 12 hours, departure airport changes excluding London) will be notified as soon as possible. We are not liable for changes due to unforeseen circumstances such as technical issues, airline rescheduling, war, civil unrest, natural disasters, or weather disruptions.

Hotel descriptions (e.g., "First Class," "Luxury") are based on our evaluation and local standards. If reserved accommodations become unavailable, we will provide an equivalent alternative.

16.6. Cancellation by the Client

Notify us immediately if you or any party member needs to cancel. Telephone cancellations must be confirmed in writing or via email within 24 hours by the original booker. Cancellations are effective upon receipt of written confirmation. A cancellation invoice will be issued within seven days. Failure to receive it requires contacting us to avoid additional charges. Some arrangements may incur a 100% cancellation fee. Comprehensive insurance is advised to cover cancellation charges.

16.7. Cancellation by Us

We reserve the right to cancel your booking for any reason, except less than eight weeks before departure unless under extraordinary circumstances. In such cases, we will offer alternative arrangements of similar standards or refund the holiday amount if advised against by the UK Foreign Office. No compensation is provided for cancellations due to external factors like insufficient participants or unforeseen circumstances.


17. Insurance

We strongly recommend securing comprehensive travel insurance covering cancellations, medical emergencies, repatriation, personal accidents, and loss or damage to personal belongings. Travelers may choose insurance provided by PepMyTrip or arrange their own. If opting for independent insurance, provide policy details and sign an indemnity form absolving us and our agents of liability for costs covered by the insurance.


18. Data Protection Policy

PepMyTrip ensures secure handling of your personal information. Necessary details are shared with travel suppliers (airlines, hotels, transport providers) and public authorities (customs, immigration) if required. Data is managed in compliance with relevant laws.


19. Complaints and Disputes

We aim to provide a seamless travel experience, but issues may arise. If problems occur during your trip, notify the supplier and our team immediately for resolution. If unresolved, submit a written complaint within seven days of your return. Failure to report issues during the trip may affect later claims.


20. Disabled Passengers

Some destinations may not be suitable for travelers with disabilities. Verify the suitability of your destination and arrangements before booking.


21. Telephone Calls

To ensure high-quality customer service, telephone calls may be recorded for training and review purposes.


22. Governing Law

22.1. Jurisdiction

These Terms are governed by English law and subject to the jurisdiction of English courts. Local Sri Lankan laws and customs may also apply to your travel arrangements and could change over time.

22.2. Regulations

Your travel arrangements comply with applicable laws and regulations, ensuring adherence to industry standards.
